A single-clinic cash-based physical therapy practice may need fewer pages and a stronger first-visit and pricing explanation. A hospital-affiliated group needs a more elaborate structure with a page per location and per service line.

Insurance and access
Questions about money and permission sit on top of most physical therapy patients' minds. Can I use my insurance? Do I need a doctor's note? What will I pay? A website that dodges these questions wastes calls at the front desk and loses patients who never call. The challenge is that the real answers vary by payer, by plan and by state, and your site cannot promise what you cannot verify for each person.
The solution is to explain how things generally work and then to give a simple next step. For coverage, describe the types of plans you work with, how a patient can check their own benefits and what your office will verify for them before the first visit. For cash-based physical therapy, describe what the session includes, how long it runs and how payment works. For referral and direct access, say in general terms that rules differ by state and by insurer, that some patients can start without a physician referral and others cannot, and that your staff will confirm what applies. Do not state a specific rule unless you have confirmed it with your state board, and keep it current.
A short benefits-check form on the page can save time, but only if it is designed carefully. Ask for the minimum needed, explain what happens to the information and use a secure system. Do not put insurance ID numbers or conditions into a general contact form that sends plain email.

A mobile visitor should find a call button in the header, a short form and, where your practice management system allows, an online scheduling option that shows real availability. A person with back pain at the end of a workday is unlikely to wait on hold, and a page that lets them request a time in under a minute often wins the evaluation.
Keep the first form short: name, phone, email, the general reason for the visit in the person's own words, preferred days and the name of the location. Avoid collecting a detailed history, insurance IDs or medical notes before the patient is inside your secure intake system. Say what happens after submission, for example "Our front desk will call within one business day to find a time", and keep that promise.
Intake paperwork can be completed online before the visit through your practice's own secure forms. Link to it from the first-visit page. This saves time at the clinic, lets the therapist review it first and makes the first appointment feel organized. If you offer telehealth for follow-up visits or consultations, give it its own explanation, since it comes with state and payer limits.
